Privacy Policy

The short version
Earshot monitors public information only: what AI assistants and public search surfaces say about your practice. We never ask for, collect, or store information about your clients — no client names, no session data, no health information, no EHR connections. The only personal information we hold is what you give us to run your account: your email address and your practice’s public business details.
What we collect
- Account information. Your email address, used for passwordless sign-in and for sending your weekly report.
- Practice profile. The public business details you enter during setup: practice name, clinician name and credentials as publicly listed, website address, city, specialties, service and payment model. All of this describes your public practice, not your clients.
- Monitoring evidence. The results of our checks: AI assistant responses, search result positions, Business Profile and directory details — all gathered from public sources through official interfaces.
- Billing. Payments are processed by Paystack. We never see or store your card number; we hold only the subscription state (plan, status, renewal date).
- Usage analytics. Product events (for example, that a weekly email was opened or a fix was marked done) and standard web analytics via Google Analytics.
How your practice information is used
To run your checks, we send your practice’s public details (name, city, specialties, website) to the services we measure and license data from: AI providers (OpenAI, Anthropic, Google, Perplexity) through their official APIs, and licensed search-data providers. This is the product working as described — asking, on your behalf, the questions a prospective client would ask. We do not sell your information, and we do not use it for advertising.
Service providers we rely on
Google Cloud / Firebase (hosting, authentication, database), Paystack (payments), Resend (email delivery), Google Analytics (site analytics), and the AI and search-data providers named above. Each receives only what it needs to do its job.
Retention and deletion
We keep your account data and monitoring history while your account exists — the week-over-week trend is the product. If you want your account and its data deleted, email us and we’ll confirm once it’s done.
Your choices
- You can update your practice details and email preferences from the dashboard at any time.
- You can cancel monitoring at any time; your existing reports remain readable.
- You can request a copy or deletion of your data by emailing us.
